Field Collector Guide
Field collectors use the Dharini mobile application to collect samples and record site information directly from the field. This guide covers all workflows and features available in the mobile app.
Getting Started
Section titled “Getting Started”Installing the App
Section titled “Installing the App”- Use the official link to download and install the latest version: https://in.dharini.artpark.ai/download/
- Install the application on your mobile device
- Grant necessary permissions when prompted:
- Location – Required for GPS tracking
- Camera – Required for capturing site photos
- Storage – Required for offline data storage
First-Time Login
Section titled “First-Time Login”Step 1: Open the App
- Launch the Dharini mobile app
- You will see the login screen
Step 2: Enter Mobile Number
- Enter your registered mobile number
- This number must have been added by your project manager
- Tap Send OTP
Step 3: Verify OTP
- Enter the OTP (One-Time Password) sent to your phone via SMS
- Tap Verify
- You will be securely logged in
Home Screen Overview
Section titled “Home Screen Overview”After logging in, you will see the Home Screen with the following sections:
Upcoming Visits
Section titled “Upcoming Visits”Displays your assigned visits for the day and upcoming scheduled visits:
- Site name and location
- Scheduled visit date
- Visit status (Pending, In Progress)
- Distance from current location
Tap on any site to start or continue a visit.
Past Visits
Section titled “Past Visits”Shows your completed visits:
- Visit date and time
- Site details
- Number of samples collected
- Sync status
Quick Actions
Section titled “Quick Actions”- Add Visit – Create a new site visit on the field
- Sync Data – Manually trigger data synchronization
- View Sites – See all sites (assigned and created)
Working with Assigned Visits
Section titled “Working with Assigned Visits”Step 1: View Assigned Visits
Section titled “Step 1: View Assigned Visits”- On the Home Screen, browse the Upcoming Visits section
- Assigned visits show:
- Site name
- Location
- Scheduled date
- Visit frequency
Step 2: Start a Visit
Section titled “Step 2: Start a Visit”- Tap on a site from your assignment list
- The app will display site details
- Tap Start Visit to begin data collection
Step 3: Enter Site and Sampling Metadata
Section titled “Step 3: Enter Site and Sampling Metadata”Once the visit starts, you need to enter required information:
Site Information:
- Site conditions
- Weather conditions
- Any site observations
Sampling Metadata:
- Date and time (automatically captured)
- GPS location (automatically captured)
- Additional required fields marked with an asterisk (*)
Creating a New Site Visit
Section titled “Creating a New Site Visit”If you need to visit a location that hasn’t been assigned to you:
Step 1: Add New Visit
Section titled “Step 1: Add New Visit”- On the Home Screen, tap Add Visit
- The app will open the new site creation form
Step 2: Enter Site Details
Section titled “Step 2: Enter Site Details”Fill in the basic site information:
- Site name or identifier
- Site type
- Location (automatically captured via GPS)
- Any additional metadata
Step 3: Save and Start Visit
Section titled “Step 3: Save and Start Visit”- Tap Save Site
- The site is now created
- You can immediately start the visit
Sample Collection
Section titled “Sample Collection”Step 1: Select Disease Type
Section titled “Step 1: Select Disease Type”- After starting the visit, select the disease for which you are collecting samples
- Available options are configured by your project admin
Step 2: Select Sample Types and Count
Section titled “Step 2: Select Sample Types and Count”- Select the type of samples you will be collecting
- Enter the count for each sample type
- Tap Proceed
Step 3: Scan or Enter Sample IDs
Section titled “Step 3: Scan or Enter Sample IDs”For each sample:
Option A: Scan QR Code or Barcode
- Tap Scan QR Code
- Point your camera at the QR code or barcode on the physical sample container
- The app will automatically capture the sample ID
Option B: Manual Entry
- Tap Enter Manually
- Type in the sample ID from the container
- Tap Save
The sample container is now digitally linked to the site and visit.
Step 4: Enter Replicate IDs (if applicable)
Section titled “Step 4: Enter Replicate IDs (if applicable)”If you are taking replicates of the sample:
- Enter the unique replicate ID for each replicate
- This helps track multiple samples from the same source
Step 5: Capture Photos and Metadata
Section titled “Step 5: Capture Photos and Metadata”Capturing Photos:
- Tap Add Photo
- Take a photo of:
- The sampling site
- The sample container
- Any relevant environmental conditions
- Photos are automatically attached to the sample
Entering Metadata:
- Fill in additional metadata fields:
- Sample condition
- Collection method
- Observations
- Any other required fields
- All information is saved automatically
Completing and Submitting a Visit
Section titled “Completing and Submitting a Visit”Step 1: Review Visit Details
Section titled “Step 1: Review Visit Details”Before submitting:
- Review all entered information
- Verify sample details
- Check that GPS coordinates are accurate
- Ensure all mandatory fields are filled
Step 2: Submit Visit
Section titled “Step 2: Submit Visit”- Tap Submit Visit
- The app will validate all required data
- If validation passes, the visit is submitted
Step 3: Data Synchronization
Section titled “Step 3: Data Synchronization”If Device is Online:
- Data syncs automatically to the server
- Visit status changes to “Synchronized”
- Visit moves from “Upcoming” to “Past Visits”
If Device is Offline:
- Data is saved securely on your device
- Visit status shows “Pending Sync”
- Data will sync automatically when network is available
Viewing Sites and Visits
Section titled “Viewing Sites and Visits”Sites Tab
Section titled “Sites Tab”The Sites tab shows all sites:
- Sites created by the project manager
- Sites created by you in the field
Site Details Include:
- Site name and location
- Visit history
- Assigned collectors
- GPS coordinates
Visits Tab
Section titled “Visits Tab”The Visits tab has two sections:
Upcoming Visits:
- Assigned visits pending completion
- Visits in progress
Completed Visits:
- All your completed visits
- Sync status for each visit
- Ability to view visit details
Profile and Settings
Section titled “Profile and Settings”Viewing Your Profile
Section titled “Viewing Your Profile”Tap the Profile icon to view:
- Your name and contact information
- Projects you are assigned to
- Your role (Collector, Collector Admin, etc.)
- Profile picture (if added)
App Settings
Section titled “App Settings”Access settings to:
- Enable/disable automatic sync
- Manage notifications
- View app version
- Log out
Working Offline
Section titled “Working Offline”The Dharini app is designed for offline-first operation.
How Offline Mode Works
Section titled “How Offline Mode Works”- Data Collection: All data entry, photo capture, and visit management works without internet
- Local Storage: Data is securely saved on your device
- Pending Sync: App shows “Pending Sync” status for unsynced visits
- Auto Sync: When network is available, data syncs automatically in the background
Best Practices for Offline Work
Section titled “Best Practices for Offline Work”- Start each day by syncing any pending data from the previous day
- Keep your device charged (GPS and camera use significant battery)
- Do not uninstall the app while you have pending sync data
- Connect to WiFi or mobile data at the end of each field day to sync
Tips for Efficient Field Collection
Section titled “Tips for Efficient Field Collection”Before Leaving for the Field
Section titled “Before Leaving for the Field”- ✅ Check your assigned visits for the day
- ✅ Ensure your device is fully charged
- ✅ Sync any pending data from previous visits
- ✅ Verify location permissions are enabled
During Field Collection
Section titled “During Field Collection”- ✅ Take clear photos in good lighting
- ✅ Double-check sample IDs before scanning
- ✅ Complete all mandatory fields
- ✅ Add notes or observations as needed
After Returning from the Field
Section titled “After Returning from the Field”- ✅ Connect to WiFi or mobile data
- ✅ Wait for all visits to show “Synchronized” status
- ✅ Review any error messages or sync failures
- ✅ Charge your device for the next day
