Project Admin Guide

Project admins use the management portal to oversee operations and manage users. This guide covers all the workflows and features available to project administrators.

  1. Navigate to the web dashboard: https://in.dharini.artpark.ai/
  2. Login with your registered email ID
  3. You will be directed to the Overview Dashboard

The Overview Dashboard provides a comprehensive view of all ongoing operations.

Live Monitoring

  • Sampling locations on an interactive map
  • Key performance indicators (KPIs)
  • Collection and testing progress metrics
  • Real-time field activity

Quick Actions

  • Create new projects
  • Assign teams and sites
  • View sample status
  • Manage users
  1. Navigate to the Projects section
  2. Click Create New Project
  3. Select the disease for which you are planning to do sampling
  4. Fill in the project details:
    • Project name
    • Description
    • Start and end dates
    • Disease type
  5. Save the project

When creating a project, you can assign team leads:

  • Single Team: Assign one team lead
  • Multiple Teams: Assign multiple team leads, one for each team

Team leads will have oversight of their respective teams and can monitor team member activities.

For each team, add team members and assign their roles:

Available Roles:

  • Collector – Field data collection personnel
  • Lab Member – Laboratory technicians
  • Project Admin – Project administrators with full access

To Add Team Members:

  1. Select the team
  2. Click Add Member
  3. Enter member details (name, email, phone)
  4. Assign the appropriate role
  5. Save the member

Sites are specific locations where sampling will occur.

To Create a Site:

  1. Navigate to the Sites section within your project
  2. Click Create New Site
  3. Enter site details:
    • Site name
    • Location (coordinates or map selection)
    • Site type
    • Additional metadata
  4. Save the site

Once sites are created, assign them to individual collectors:

  1. Select a site
  2. Click Assign Collector
  3. Choose the collector from your team
  4. Set the sampling parameters:
    • Frequency of Visit – How often the site should be visited (daily, weekly, monthly)
    • Duration – Total duration of sampling in number of months
  5. Save the assignment

Collectors will see these assigned sites in their mobile app under “Upcoming Visits.”

Track the progress of samples across all stages:

Sample Stages:

  1. Collected – Sample collected in the field
  2. Received in Lab – Sample has arrived at the laboratory
  3. Tested – Sample testing is complete
  4. Report Generated – Final report is available

Viewing Sample Status:

  1. Navigate to the Samples section
  2. Use filters to view samples by:
    • Status
    • Date range
    • Collector
    • Site
    • Project
  3. Click on any sample to view detailed information

The dashboard provides real-time visibility into:

  • Active field collectors
  • Pending visits
  • Samples in transit
  • Lab processing queue
  • Exceptions and alerts
  1. Navigate to User Management
  2. Click Add User
  3. Enter user details:
    • Name
    • Email address
    • Phone number
    • Designation
  4. Assign role(s)
  5. Save the user

The user will receive credentials via email or SMS.

Users can have one or more of the following roles:

  • Super Admin – System-level administrator
  • Project Admin – Project-level administrator (can manage projects)
  • Team Admin – Team-level administrator
  • Team Member – General team member
  • Lab Admin – Laboratory administrator
  • Lab Member – Laboratory technician
  • Collector Admin – Lead field collector
  • Collector – Field collector
  1. Navigate to User Management
  2. Find the user to remove
  3. Click Remove or Deactivate
  4. Confirm the action

Sites can be allocated to collectors in bulk or individually:

  1. Select a site
  2. Choose a collector
  3. Set visit frequency and duration
  4. Save
  1. Navigate to Site Allocation
  2. Select multiple sites
  3. Choose one or more collectors
  4. Set default frequency and duration
  5. Apply to all selected sites
  1. Navigate to Reports
  2. Select report type:
    • Sample collection summary
    • Lab testing summary
    • User activity report
    • Site visit compliance
  3. Set date range and filters
  4. Generate and download the report

The analytics dashboard provides insights into:

  • Collection efficiency by team/collector
  • Sample processing times
  • Site coverage and compliance
  • Quality metrics (acceptance/rejection rates)
  • Clearly define project scope and timelines
  • Assign adequate team members for the workload
  • Set realistic visit frequencies based on resources
  • Regularly review team assignments
  • Monitor collector performance and site coverage
  • Provide feedback and support as needed
  • Monitor sample rejection rates
  • Review exceptions and anomalies
  • Ensure collectors have proper training
  • Keep team members informed of project updates
  • Address issues promptly
  • Use the platform’s notification features
